Terms of Booking Agreement

By booking at Southern Cross, members and guests agree to the following :
1) Acknowledge and agree to Southern Cross’s Aims and Objectives as set out further below.
2) Arrive at and leave the lodge at the times specified in your confirmation email or letter, and to let our staff know of any change in expected arrival time – especially if arriving late for the evening meal on the first day.
3) Include any special dietary restrictions on the booking form, and re-confirm these with our staff direct ahead of your stay.
4) Act cooperatively with our staff and other guests during your stay, and endeavour to contribute to the community life of the lodge.  Respect and care for the lodge property and equipment, and for other guests’ rights to proper rest and sleep.
5) Children under age 18 must be booked with and under the control of a parent or another adult.
6) Smoking is not permitted in the lodge.  Smoking is permitted outdoors only.
7) No alcohol or illegal drugs are to be brought onto the property.
8) Pets are not permitted within the lodge or the National Park.

Aims and Objectives of Southern Cross Alpine Lodge

(based on Clause 3A of the Company’s Memorandum of Association)
** To encourage the enjoyment of God’s good things through activities that the high country affords, such as bushwalking and cycling, along with the challenges of skiing & snowboarding.
** To provide a venue & social environment within which we can experience a happy, caring relationship with others within the Chalet, & where the Holy Spirit may use us to be a blessing to one another.
** To provide stimulus & encouragement for personal growth in Christian discipleship, by encouraging all our members and guests to use a clear Bible-based, systematic teaching program with appropriate discussion.
** To provide facilities & produce an atmosphere, in which people may hear the gospel & be challenged to receive Jesus Christ as their own personal Saviour & Lord.
** To encourage all involved with the Chalet to maintain a positive Christian lifestyle on the snow fields, so that others may be attracted to Christ.

Making and Confirming a Booking

We are still finalising the 2012 booking form, but you may request or enquire about booking (or anything else about Southern Cross) by email, phone, fax or post .  Bookings cannot be confirmed until at least a 50% deposit is received.  You may pay by Internet Funds Transfer (we shall advise you how to pay by Internet after your booking request is received), by cheque or credit card (but we recommend you don’t include credit card details be in the body of an email). A 3% surcharge applies credit card payment.
2012 snow season bookings are confirmed in order of receipt, subject to 
1)   All booking received up till 31 March 2012 are treated as though received on 31 March 2012;
2) In terms of our PBS (Preferential Booking System) Rules, Class 1 PBS entitlement booking requests are allocated first, followed by Class 2 PBS requests, and then non-Member requests;
3) We also give preference to week long bookings and minimum mid-week length of stay restrictions apply during most of the season.
Every effort is made to accommodate your first preference but this is not always possible as our lease is for 25 beds (including staff) – so please ensure that you include alternative preferences.  If necessary, a ballot is conducted for equal priority bookings.
Rooms are allocated prior to your arrival at Southern Cross with consideration to the needs of the total group.  We do try to meet guest and family needs, however, in order to maximise occupancy, there may be occasions where we are unable to meet all requests.  Exact room allocation confirmation is not available ahead of arrival, and our staff will advise you of your room on arrival.
A confirmation email or letter will be sent to you once the Booking Coordinator can confirm your booking.  Except for short notice bookings, no other form of communication is recognised as confirmation of a booking.

Final Payment

Your final payment is due one month prior to booking commencement, otherwise your booking may lapse.

Cancellation

A $50 administration fee applies to all cancellations (not to booking date changes).  In addition, if less than 2 months’ notice is given, and the bed(s) are not rebooked, all fees (less than 1 months’ notice) or 50% deposit (between 1 and 2 months’ notice) may be forfeited.  [ Please consider effecting Travel Insurance including Cancellation Insurance – various insurers may be located via the Internet ]
